The roles and responsibilities can be any of the following, not necessarily all. We can smoothly coordinate amongst the host and volunteers:
Communication:
Before the event, join a WhatsApp chat group with the host and other volunteers to discuss.
Date/Time/Location:
Two sessions:
- September 19, 2026 (Saturday), 7 - 9 pm, Fremont Central Park
- September 26, 2026 (Saturday), 7 - 9 pm, San Ramon
Location:
Help select a venue, probably an outdoors venue, such as at a local park, at a venue convenient to the host and volunteers, as well as suitable for our community.
An indoors venue is possible, but if lanterns with candles are used, we must be very careful to avoid, especially with children around, accidentally setting lanterns on fire indoors.
Coordinate such as with the park authorities if needed to reserve a spot.
Event Format:
Basics are:
- Lanterns (which have to be lit safely, either electric or candle)
- Tea (hot Chinese tea)
If there are volunteers interested, discuss to add more elements. These elements could be activities targeted towards children, such as:
- Story telling of the origin of the Mid-Autumn Festival.
- Lighting lanterns for kids to carry around.
- Lead kids on a walk around an appropriate trail or path in the park, led by a volunteer adult,
These elements could be more food and drinks:
- Coordinate a potluck with some mooncakes
- Any additional food (possibly with some management to keep the food related to the Mid-Autumn Festival)
- Drinks (such as fruit juice packs)
- Snacks for children.
Potential Pre-Event Volunteer Help:
- Plan with the host
- Publicity
- Registration process
- Help coordinate people coming in
Potential At-Event Volunteer Help:
- Help the host unpack lanterns (host has them already).
- Help the host resell lanterns to parents for their kids.
- Help the host setup up tea.
- Help coordinate people to clean-up and pack-up
