Privacy Statement

Introduction
SingaporeConnect ("we") are committed to supporting the privacy of those who participate at or support our events, such as as a volunteer, sponsor, donor, vendor, or attendee. This Privacy Statement explains how we handle and use the personal information we collect about participants and supporters.
What personal information we collect

While specific information may vary for particular individuals, we may collect, use, store and transfer different kinds of personal information about you, which we have grouped together as follows:

  1. Basic biographic/contact information – billing zipcode, phone numbers, email addresses, and social media contact information
  2. Demographic information – names, gender, pronouns, and ethnicity (solely if you choose to provide ethnic information)
  3. Employment information – company names, job titles, and industry information
  4. Family information – spouse/partner's name, children's names, and familial relationships
  5. Donor & sponsorship information – donation amounts, philanthropic interests, giving history and wealth assessment information
  6. Analytical information – aggregated information related to web visitor activity, IP addresses, device/browser type and email engagement data and email marketing actions

Family information is entirely optional and only collected to help us understand our community better and tailor family-friendly events. We do not use children's information for marketing purposes. You can participate fully in our events without providing this information. We do not market to children under 13 years of age.

How we collect personal information about you
We collect information about you from a variety of sources. A significant portion of the information we maintain is that which you have provided to us, either by updating your profile online, signing up for access to a document resource, registering for an event, communicating with us, or making a donation.

We may supplement information you provide with publicly available professional information, such as, from LinkedIn to better tailor our communications. We will not collect information from private social media accounts or from sources requiring authentication.
How we use your personal information
We use your personal information for a number of legitimate purposes all in support of SingaporeConnect and its mission.

Specifically, we use your personal information to:
  1. Keep you updated with information and invite you to SingaporeConnect's activities.
  2. Keep you updated with information that we deem relevant to Singaporeans and friends of Singapore, such as from related associations and Singapore Government agencies.
  3. Conduct surveys, including event satisfaction, preferences, and interests.
  4. Conduct preference research in order to understand our participants and supporters, to inform our event planning strategy and target our communications
  5. Perform administrative tasks and for internal record keeping purposes.
  6. Create and analyse aggregated (anonymised) information about our participants and supporters for statistical research purposes in support of our mission.
  7. Ensure the safety and security of the Event and comply with applicable legal, regulatory, and reporting obligations.

When we share your personal information
To perform the functions listed above, it may be necessary to share your personal information with our volunteers. All individuals sign confidentiality agreements before accessing personal data, receive data protection training, and only access the minimum information necessary for their specific role. We maintain a record of which volunteers have accessed what information.

We may also share your personal information with third parties under contract with us to perform services in support of our operations, or under an sponsorship agreement with us to provide funding. We share your information with the following service providers: Groups.io (email communications), Hubspot (contact management), and Ticketspice (event registration). All service providers are contractually required to use your data only for providing services to us, maintain appropriate security measures, and delete your data when no longer needed for these purposes. Where events are funded in part by sponsors, the information they require to provide the funding will be clearly stated during ticket registration and shared accordingly.

We will share your personal data with government agencies only when legally required through a valid subpoena, court order, or similar legal process. We will notify you of such requests unless legally prohibited from doing so, and will share only the specific information required by law. In such cases, we will make every effort to notify you that your information has been shared. Sharing excludes text messaging originator opt-in data and consent; this information will not be shared with any third parties.
How your information is stored and secured
We protect your data using industry-standard security measures including encryption at rest and in transit, multi-factor authentication for system access, regular security assessments, and access controls that ensure only authorised personnel can access personal information on a need-to-know basis. We regularly review and update our security practices. Only authenticated users with specific permissions may access the data.
How long we keep your personal information
We will retain your personal information for 10 years after your last interaction with us (event attendance, donation, or communication). After this period, we will either delete or anonymise your information unless you have explicitly requested we maintain your records. You may request deletion of your information at any time. You may also make changes to email communication preferences online through our email list website.
Additional Information
If we make material changes to this Privacy Statement, we will notify you at least 30 days before the changes take effect by emailing all affected individuals and posting a prominent notice on our website. The notification will include a summary of key changes and options available to you. Previous versions of our Privacy Statement will remain accessible on our website.
